Hotel and Airbnb airport transfers in Sydney
From a hotel lobby or a holiday-rental doorstep to the terminal, and back again, timed to your flight rather than a shuttle timetable.
Where does the driver meet me at my hotel? #
At the main entrance where the hotel lets cars into the forecourt, and at the nearest legal kerb where it doesn't. Your driver messages your mobile when they are in position and tells you exactly where they are standing. Wait in the lobby until that message arrives rather than on the footpath with your bags.
Put the hotel's name and its full street address in the pickup address field, and the time you will genuinely be in the lobby in the special instructions. You don't need to give a room number. Chains repeat the same hotel name across several suburbs, so the street address is the part that decides where a car goes.
What if the hotel won't let cars into the forecourt? #
Then the driver stops at the closest legal point and tells you where it is. This is ordinary in the Sydney CBD: a single-lane driveway a doorman controls, a forecourt kept for taxis and house cars, or a porte-cochère with a height bar. The pickup still happens — the meeting point just moves fifty metres.
Two practical consequences. An 11-seat maxi van will not clear many hotel awnings or basement entrances, so group pickups from a city hotel usually happen at street level. And between 10am and 11am that same door is handling every checkout in the building — allow a few minutes to get from the lift to the car. If you already know the hotel restricts access, or the doorman wants a registration in advance, say so at booking.
How early should I leave the hotel for my flight? #
Work back from when check-in closes. We suggest a pickup time from your flight, the airport and the hotel's suburb, and you can move it before you pay. Sydney Airport's 11pm–6am curfew means the first departures leave from 6am, so city hotel pickups for those flights start around 4am.
From 25 October 2026 Western Sydney International adds a curfew-free alternative: one terminal for domestic and international flights, about 61 km by road from the CBD (55–80 min), reached on motorways including the toll-free M12. Before you book a pre-dawn WSI departure, check what your hotel's overnight access actually looks like — night-locked doors, a lift that needs a key card, an unstaffed bell desk, and a luggage room nobody can open until 6am.
Arriving: what happens between landing and the hotel door? #
We track your flight number, so the driver's timing follows the actual landing, and airport pickups include free waiting from touchdown. Without meet & greet, the driver messages you a kerbside meeting point as you land. With it, they wait inside the arrivals hall with a name board and take the trolley from there.
If you land well before check-in, the hotel's luggage room is the usual answer and your driver takes you to the door either way. If you would rather drop the bags and go straight somewhere else, add the extra stop at booking — it covers one stop en route and is priced into the fare before you pay, rather than negotiated in the car.
Serviced apartments and hotels with no reception #
Some hotels are apartment buildings with a desk that closes in the evening, or no desk at all. Treat those like a holiday rental: street address in the address field, building name and entrance in the special instructions, and a mobile you will answer. The driver messages the building, because there is nobody there to ring.
Drivers load and unload at the vehicle and will help across a lobby, but they do not go up to guest rooms — that is a bell desk's job, and an apartment building may not have one. If someone in your party cannot get their own bags to the lobby, say so at booking so the right vehicle and enough time are assigned.
What to tell us at booking #
The hotel details that change a pickup are the ones a map cannot show. All of this belongs on the booking, where the driver reads it before setting off, rather than in a message on the morning.
- Hotel name and full street address — 'the one near the harbour' is not an address.
- The time you will be in the lobby, not the time you plan to wake up.
- Flight number, on departures as well as arrivals.
- Whether the forecourt is closed to outside cars, or the doorman needs a vehicle registration.
- Real headcount and bag count if your group is spread across several rooms — one booking, one vehicle decision.
- Any second address: a colleague's hotel, a bag drop, an office call.
How does my driver find a rental with no reception? #
By the address you type and the note you add. Put the full street address, including the unit number, in the pickup field, and everything a map pin cannot show in the special instructions: the laneway entrance, the side gate, which of four identical driveways, the gate code. Your driver messages your mobile on arrival.
There is no front desk to ring and no concierge to hold a door, so the booking notes are the entire briefing. Write them the way you would describe the place to a friend who has never been there — 'red-brick block, entrance on the lane behind, gate code on arrival, I'll be at the top of the steps'.
What if there's nowhere legal to stop outside? #
The driver stops at the nearest legal kerb and messages you where. Terrace streets barely wide enough for one car, resident-permit-only zones, clearways that run through the morning peak, and laneways with no stopping at all are all normal in inner Sydney. The car may be around the corner rather than at the door.
If you already know this is the situation, say so at booking and we build the extra minutes into the pickup rather than discovering them at 4am. The same goes for a strata driveway behind a bollard, a building whose street number covers half a block, and a gated estate where the code changes between guests.
I don't have the exact address yet — can I book? #
Yes. Request the fare with the suburb and nearest cross street, then email the exact address to bookings@wsitransfers.com.au as soon as your host releases it. Holiday-rental platforms commonly withhold the precise address until a reservation is confirmed, and some hosts send access detail only the day before arrival.
The address is what the fare is calculated from, so moving the pickup to a different suburb can change the quote; a different door on the same street changes nothing. Either way, sorting it out days ahead is a two-minute conversation. Sorting it out on the morning is a different vehicle in a different suburb.
Key collection, lockboxes and a stop on the way #
Add the extra stop when you book and the driver makes one stop en route: a key handover at an agent's office, a lockbox two streets from the rental, a supermarket run before check-in, or a key drop on the way to the airport. It is selected during booking and priced into the fare, not negotiated at the kerb.
On departures, the key drop is the one that catches people out. Hosts ask for keys back in a box nowhere near the front door, and a 4.30am detour has to be built into the pickup time rather than added to it. Put the drop address in the notes as well as selecting the extra.
Late arrivals, early departures and self check-in #
Sydney Airport has an 11pm–6am curfew, so scheduled flights don't operate there overnight. Western Sydney International has no curfew, so from its opening on 25 October 2026 flights can land and leave there at any hour, which means genuine 2am arrivals to a rental with a lockbox and no host awake. We track the flight either way, the driver's timing follows the actual landing, and trips from 10pm to 5.59am carry a late-night surcharge, shown in the fare before you send the request.
Two notes make an overnight arrival better. Ask, in the special instructions, for the driver to wait at the kerb until you are inside — on a dark street you have never seen, with children and luggage, that is worth more than the two minutes it costs. And for a pre-dawn departure from a quiet residential street, note that you would rather have a message than a horn. Drivers do that by default; the note makes it certain.
What to put in the booking, and when #
Rental pickups fail on missing detail, not on distance. All of this belongs in the booking, where the driver reads it before setting off — not in a message sent while they are already circling your street.
- Full street address, including the unit or apartment number.
- How to reach the actual door: laneway, rear gate, stairs, which building in the complex, any gate code.
- A mobile that will be switched on and answered when you land.
- Flight number, so the pickup follows the real landing time rather than the timetable.
- Every child's age, so the correct restraint is fitted before we arrive — NSW rules go by age and size together.
- Key collection or key drop as an extra stop, with the address in the notes.
- Real bag count, including oversized items like surfboards and golf bags.
Common questions
Do I need to give my room number?
No. We need the hotel's name and street address, the passenger's name, and a mobile number. The driver messages you when they are in position rather than calling the room. If you would like the front desk told to expect a car, add that request in the special instructions.
Can the driver come up and get my bags?
Drivers load and unload at the vehicle and will help across the lobby, but they do not go up to guest rooms — that is the hotel's bell desk, where one exists. If someone travelling with you cannot get bags to the lobby, tell us at booking so it is planned for rather than discovered.
Can we stop at a second hotel or address on the way?
Yes, as an extra stop selected during booking: collecting someone from another hotel, dropping bags, one office call. It is priced into the fare you accept. More than one stop is better raised when we call you back, so we can quote it honestly instead of improvising on the day.
The concierge wants the vehicle's registration — can you provide it?
Yes, once a driver is assigned. Tell us when we call you back that the hotel needs it, or email bookings@wsitransfers.com.au, and we send the driver's first name, vehicle and registration as soon as the job is allocated, which is what a concierge or a security desk needs.
Is the airport access fee included in the fare?
Yes. Where an airport access fee applies to a commercial pickup, it is itemised inside your fixed fare and never added at the kerb. If a similar fee applies at Western Sydney International, it is shown the same way, itemised in your fare before you pay.
Do you cover hotels outside the city?
Yes — Greater Sydney, both airports, in both directions. Airport hotels at Mascot, conference hotels at Parramatta, and hotels further west: Penrith is about 24 km by road from Western Sydney International, against 58 km from Mascot.
Do you pick up from any suburb in Greater Sydney?
Yes, in both directions and to both airports. Inner-city terraces, eastern-beaches apartments, western Sydney houses and cottages towards the Blue Mountains are all inside the service area. Somewhere unusually remote is worth a message through the contact page first, so we can be honest about timing before you pay for it.
My host says there's no parking on the street. What happens?
The driver stops at the closest legal point — the corner, a loading zone between restrictions, the next street across — and messages you where they are. Tell us at booking that stopping is difficult, and we allow the extra minutes. That matters most on an early departure, when you cannot afford to lose ten of them.
Can we drop the keys somewhere on the way to the airport?
Yes. Select the extra stop during booking and put the drop address in the special instructions. It is priced into the fare before you pay. If the key drop is a long way off the route, mention it when we call you back, so we can quote the whole trip properly.
Can I change the pickup address after I've booked?
Yes: reply to our call or email bookings@wsitransfers.com.au as early as you can. The address is what the fare is calculated from, so a move to another suburb may change the quote, while a different door on the same street changes nothing. Sorting it out early is always calmer than sorting it out on the morning of travel.
We're arriving at 2am with a toddler. Does that work?
At Western Sydney International it can from 25 October 2026, when the curfew-free airport opens to passengers; Sydney Airport's curfew means nothing lands there overnight. A 2am pickup can be requested like any other trip, and trips from 10pm to 5.59am carry a late-night surcharge, shown in the fare before you send the request. Declare the child's age at booking so the right restraint is fitted before we arrive, and ask in the notes for the driver to wait until you are inside the rental.
Will the driver help with bags up to the apartment?
Drivers load and unload at the vehicle and will carry bags to the entrance. Stairs and lifts inside a private building are not something we will promise in advance — a third-floor walk-up with six suitcases is worth flagging at booking, so we can tell you honestly what the driver will be able to do.
