Changing or cancelling a trip? Reply to our call or email bookings@wsitransfers.com.au with your name, mobile and travel date. Nothing is booked until the secure payment link we send is paid. How a fare is built is on the pricing page, and if your question is how to reach the airport without a car, our guides to Sydney Airport and Western Sydney Airport cover every option. Service region: Greater Sydney, NSW.

How does getting a quote work? #

You get a fixed fare online and pay nothing to ask for it. We call you back to confirm the vehicle and the fare, then send a secure payment link, and the trip is booked once that link is paid. In order:

  • 1. Get your fare online. Enter the pickup, the drop-off, the date and time, and how many passengers and bags; the fixed fare appears straight away.
  • 2. Leave your name and mobile, with no payment. Add your email as well. No card is asked for and nothing is charged.
  • 3. We call to confirm the vehicle and the fare. If anything about the trip needs changing — the vehicle, the pickup time, the flight — that call is the moment to say so.
  • 4. Pay by the secure link we send. The trip is booked once the link is paid, not when you send the request.

Should I email or use the quote form? #

Use the quote form for a standard trip: one pickup, one drop-off, a date and a time. It prices the trip as soon as you enter it, and we call back the mobile number you leave. Email bookings@wsitransfers.com.au for anything with a list or an attachment: guest flight lists, run sheets, corporate account setup, invoicing questions.

The quote form is not a payment page. It gives you the fare and passes your request to us; nothing is booked until you have paid the secure link we send after our call. Emailing us the same trip still gets you a fare, just more slowly.

What to have ready before you get in touch #

Have the name and mobile number you left with your quote request, and the travel date. Together they identify a trip faster than an address or a description of the driver, and they are the first things we will ask for. If you haven't asked for a fare yet, have the date, the time and the addresses.

For anything with more than one vehicle in it, send the whole picture in one message rather than five.

  • The name and mobile number on the request — that is the number we call to confirm the trip.
  • The travel date and pickup time.
  • Flight number and arrival date for anything airport-related.
  • The pickup address in full: unit number, and which street the entrance is on.
  • Passenger and bag counts, honestly — a change here can change the vehicle.
  • For groups: how many people at each pickup, and at what time.

My driver hasn't arrived — what do I do? #

Stay at the meeting point we confirmed with you, and don't book a second car. If your driver has messaged you, reply with exactly where you are standing; if not, email bookings@wsitransfers.com.au with your name, mobile, flight number and where you are. At both airports the pickup point is often not the door you walked out of, so check it before you go looking.

A passenger who moves to another level or wanders into a rideshare zone becomes genuinely hard to find. If you landed early, the driver's schedule is built on your actual landing time, so a car may still be on its way — and airport pickups include 60 minutes of free waiting from actual landing, so the first stretch of waiting is already covered. If you added meet & greet, the driver comes to the arrivals exit with a name board.

How do I change or cancel a booking? #

Tell us when we call to confirm the trip, or email bookings@wsitransfers.com.au with your name, mobile and travel date. Until you have paid the secure link we send, nothing is booked, so a request you no longer need costs nothing — though a short email saves us calling you about it.

Once a trip is paid, cancelling is free up to 24 hours before pickup, 50% is refunded up to 4 hours before, and nothing is refunded inside 4 hours; the refund policy sets out the rest. Changes that alter the trip — a different address, more passengers, a larger vehicle — can change the fare. Whatever you do, don't request a second trip to fix the first one: two requests for one journey make it harder to tell which is right.

When should I expect a reply? #

We don't publish a response-time guarantee, because we haven't earned one yet and a number on a web page isn't a commitment. A quote request is answered with a call back to the mobile number you leave; an email is answered in writing, which suits anything that deserves a considered answer with real numbers in it.

Early-morning and late-night trips can be requested like any other, and trips from 10pm to 5.59am carry a 20% late-night surcharge, shown in the fare you are quoted. A written reply is not the same thing as a confirmed car, so for a trip in the next few hours, send the quote request rather than an email.

Common questions

What's the fastest way to reach a human?

Send a quote request with your name and mobile: the answer is a call back from us, and that call is where the vehicle and the fare are confirmed. Email, at bookings@wsitransfers.com.au, is the better channel for group logistics, wedding flight lists, corporate accounts and anything needing an attachment, because those answers take checking and you want them in writing.

I sent a quote request. Why hasn't an email arrived?

Because the website doesn't send one. A quote request creates no email, no reference and no payment. What happens next is a call back to the mobile number you left, to confirm the vehicle and the fare, then a secure payment link, and the trip is booked once that link is paid. If the mobile number may have been mistyped, email bookings@wsitransfers.com.au with your name, the right number and the travel date.

Can I book over the phone instead of online?

Every booking is finished on a phone call — ours to you. Get the fare online and leave your name and mobile, and we call you back to confirm the vehicle and the fare before sending a secure payment link. If something about your trip doesn't fit the form — several vehicles, a run sheet, an unusual pickup — email bookings@wsitransfers.com.au and we'll work out how to get it booked properly.

Do you answer overnight?

We don't publish contact hours on this page, because we won't publish hours we can't hold to. What you can do at any hour is send a quote request: it costs nothing, the fare appears straight away, and the call back goes to the mobile you leave. Overnight travel is priced rather than refused — trips from 10pm to 5.59am carry a 20% late-night surcharge, and that is in the fare before you send anything.

How do I get a receipt or a tax invoice?

Ask when we call to confirm the trip, or email bookings@wsitransfers.com.au with your name, mobile and travel date, and say where it should go. Fares are quoted with GST included. A receipt can only follow payment, because nothing is paid when you request a fare. Accounts with several travellers can agree how receipts are handled when the account is set up.

Where do group, wedding and corporate enquiries go?

Email bookings@wsitransfers.com.au, with the details in the message. For weddings, send the guest flight list and the run sheet. For corporate, say who travels, how often and between where. For groups, give the number of people at each pickup. We come back with a schedule and a fixed fare on every leg rather than a form to fill in.
