Business and executive transfers in Sydney
For work travel, the transfer is either invisible or it's a problem. We aim for invisible: on time, a fixed fare, and a tax receipt when you ask for one.
What does a business transfer include? #
A fixed fare agreed before you travel, with GST included, a pickup timed to your flight and your actual suburb, and flight tracking on the arrival leg. The fare appears as soon as you enter the trip; we call you back to confirm it and send a secure payment link, and the trip is booked once that link is paid. Nothing is added at the kerb, and the fare does not move because the traffic did.
The rest is deliberately unremarkable. If a concierge or a security desk needs to know who to expect, say so when we call and we pass on the driver's first name, vehicle and registration once one is assigned. Sedans handle solo travel; the luxury van is the quieter option when the passenger is a client rather than a colleague.
How do I get a tax invoice? #
Ask for a tax receipt when we call you back to confirm the trip. The fare breakdown you see before you send the request already lists the vehicle and distance components, every extra you selected, any airport access fee or government levy that applies, and the GST included in the total.
When the traveller and the payer are different people, put the traveller's name on the booking as the passenger and the billing contact in the special instructions. How receipts work across several travellers is agreed when a corporate account is set up, by conversation rather than a form: request a fare for a typical trip and tell us about the team when we call you back.
How early should the pickup be for a morning flight? #
Work back from when check-in closes, not from departure. We suggest a pickup time from your flight, your airport and your suburb, and you can move it before you pay. Sydney Airport has an 11pm–6am curfew, so the first departures of the day cluster from 6am — and so does every car heading to Mascot.
From 25 October 2026 Western Sydney International changes that arithmetic: it has no curfew, one terminal for domestic and international flights, and road access on the toll-free M12 to the M7. By road it is about 61 km from the Sydney CBD, 39 km from Parramatta, 25 km from Liverpool and 24 km from Penrith, so western Sydney businesses gain a second airport to choose between.
What if my meeting runs over or my flight moves? #
Arrivals need no action from you. We track the flight number, so a delayed landing moves the driver, and airport pickups include free waiting measured from actual touchdown rather than the schedule. For a departure pickup that has to shift, tell us as early as you can: reply to our call or email bookings@wsitransfers.com.au.

Which vehicle for one traveller, and which for a team? #
A sedan seats up to four with two large suitcases. The people mover takes seven, the People Mover XL eight, and the 11-seat maxi van moves a whole delegation and its luggage on one booking and one fare. The luxury van is the more presentable choice for client-facing pickups.
Declare the luggage honestly, because it decides the vehicle. A people mover carrying more than four large suitcases seats six, not seven. Oversized items — pull-up banners, boxed equipment, sample cases — each consume the space of two large bags. Trade-show freight in the boot is easy to forget when you are counting bags.
What we need from you, and when #
Anything that changes the vehicle or the timing belongs on the booking, not mentioned to the driver at the kerb. Extras are priced into the fare before you pay, so a seat or a stop added on the day is a problem for both of us.
- Flight number, at booking — it drives the tracking and the free waiting.
- The building entrance, not just the street number: which lobby, which side, whether the loading dock is the only place a car can legally stop.
- A mobile the traveller will actually answer on landing.
- Booking for someone else: their name as the passenger, their mobile as the contact, yours in the special instructions.
- An extra stop — collecting a colleague, dropping documents at the office — selected during booking.
- Real headcount and real bag count before a vehicle is assigned.

Can I get a tax invoice?

Door pickups include a short free-waiting window; beyond it, waiting is charged at the rate published on the pricing page. If the day has clearly moved rather than slipped, email bookings@wsitransfers.com.au with the new pickup time instead of letting the car sit.
Can I book a transfer for a colleague or a client?
Yes. Put the passenger's name and mobile on the booking so the driver contacts the right person, and your own number in the special instructions so we can reach you too. Add meet & greet if they are arriving into a terminal they don't know — the name board carries the passenger's name, not the booker's.
Can the driver make a stop between the office and the airport?
One extra stop is a selectable extra during booking: collect a colleague, drop contracts, call at a hotel. It is priced into the fare you accept before you pay. Anything more involved than a single stop is better raised when we call you back, so we can quote the trip properly.
Do you cover very early and very late corporate travel?
Early-morning and late-night trips can be requested like any other, and trips from 10pm to 5.59am carry a late-night surcharge, shown in the fare before you send the request. Sydney Airport's 11pm–6am curfew means the earliest departures leave from 6am, which puts their pickups well before dawn. Western Sydney International has no curfew, so from its opening on 25 October 2026 flights can land and leave there at any hour.
