Group airport transfers in Sydney
Eleven seats, ten large bags, one booking. Groups travel better together — and cheaper per person.
How many people fit in one vehicle? #
The maxi van seats 11 with room for around 10 large suitcases. Below it, the People Mover XL seats 8, the standard people mover seats 7 and a sedan seats 4. Above 11, it is two vehicles run on the same schedule, so give us the full headcount at booking and both are dispatched together rather than an hour apart.
One vehicle is simpler than a convoy in the ways that actually go wrong: one pickup time, one driver to call, one fixed fare, and nobody at an airport kerb wondering whether the second car took a different exit.
Can we fill every seat and bring a suitcase each? #
Eleven passengers with eleven large suitcases is not one vehicle, and the honest capacity is lower than the seat count suggests. Our capacity check trades seats for bags where the vehicle does: the standard people mover drops to six passengers once it is carrying more than four large cases, and each oversized item consumes two large-bag slots.
Oversized means golf bags, surfboards, boxed bikes, ski gear, a folded wheelchair. Count them separately and count them honestly, because an under-declared group is the one standing at a kerb repacking. Child restraints belong in the same maths: every fitted seat takes a passenger seat on top of the child in it, so a group with three young children loses three more seats than it expects.
Where does an 11-seat van actually pick up? #
Somewhere it can stop legally with clearance to open the doors. Western Sydney International is the simpler airport, with one integrated terminal. When the airport opens, dedicated taxi ranks and rideshare pick-up zones will be available directly outside the terminal. Sydney Airport is harder, because T1 international is a separate building from T2 and T3, so the whole group must gather at one terminal and the booking must name it.
City pickups are the harder problem. Some hotel forecourts and many basement driveways have a height limit an 11-seat van cannot clear, and some hotels will not admit vehicles that are not carrying arriving guests. Nominate a street-level pickup point in the special instructions. For cruise groups, name the terminal too: the Overseas Passenger Terminal at Circular Quay and White Bay Cruise Terminal at Balmain are two different wharves with different road access, and are not interchangeable.
What if the group arrives on different flights? #
Choose one of two shapes. Either one vehicle timed to the last flight, with the earlier arrivals waiting landside, or two separate transfers timed to each flight. Both work. What does not work is one vehicle expected to meet two flights an hour apart, because the free waiting window runs from a single tracked landing.
Whichever you choose, put every flight number in the booking notes and nominate one contact mobile. The driver calls one number, not eleven, so it should belong to whoever will be on the ground and reachable, and the rest of the group should know whose phone it is. Domestic and international arrivals clear at very different speeds, which is usually the deciding factor.
How does a group fare work? #
One vehicle, one fixed fare, agreed before you pay. It is not a per-head rate and it is not a meter, so it does not move if the traffic does. The fare is set by the vehicle, the distance and the extras you select, and tolls and airport fees are inside the figure you accept rather than added afterwards.
Split among the group later, one fare replaces several separate ones. Two practical notes: one secure payment link covers the whole fare, so nominate an organiser and settle up between yourselves, and everything that makes up the fare appears in the breakdown before you send the request, not on the day.
What we need from you, and when #
The final headcount and a real luggage count, at booking. Both decide which vehicle is dispatched, and neither can be fixed at the kerb once an 11-seat van has arrived and the eleventh suitcase has not.
- Total passengers, including children, and the age of any child needing a restraint.
- Large suitcases, carry-on bags and oversized items, counted separately.
- One contact mobile belonging to someone who will be on the ground.
- Every flight number, and the terminal if you are flying through Sydney Airport.
- A workable pickup point if a hotel forecourt or driveway will not take a van.
- The cruise terminal by name, if the trip starts or ends at a ship.
- The full headcount up front if you are over 11, so both vehicles are scheduled together.
Common questions
How does pricing work for a group?
The same way as any booking: a fixed fare set by vehicle, distance and extras, shown in full before you pay. It is charged per vehicle rather than per person, so one maxi van is one fare split among the group instead of several separate fares, and it does not change if the traffic does.
What if we are more than 11 people?
We coordinate multiple vehicles on the same schedule. Request a fare and give us the full headcount and total luggage when we call you back, so both vehicles are dispatched to the same pickup time with the same driver briefing rather than booked as two unrelated trips.
Can we split the payment across the group?
No. We send one secure payment link for the whole fixed fare, and the fare breakdown shown before you send the request includes every component and the GST, which makes it straightforward to divide afterwards. Nominate an organiser to request the fare and pay the link, then settle between yourselves.
Can you carry a sports team's kit?
Yes, within honest limits. The maxi van takes around 10 large bags, and each oversized item such as a golf bag, surfboard or boxed bike counts as two large-bag slots. Declare the oversized gear separately at booking. Large teams usually end up as two vehicles, which we will tell you before you pay rather than after.
Do you run group pickups in the middle of the night?
A middle-of-the-night group pickup can be requested like any other trip, and trips from 10pm to 5.59am carry a late-night surcharge, shown in the fare before you send the request. Western Sydney International has no curfew, so from its opening on 25 October 2026 flights can land and leave there at any hour, while Sydney Airport works within its 11pm to 6am curfew. Public transport does not cover the whole night: WSI's five bus routes run 5am to 10pm daily, and Transport for NSW has published a free WSI Link shuttle from St Marys station running 4.30am to midnight Sunday to Thursday and 4.30am to 1am Friday and Saturday.
Can child seats go in the maxi van?
Yes. Child seats and boosters can be fitted in the maxi van and in both people movers. Select one per child at booking and declare each child's age, and remember that every fitted restraint takes a passenger seat in addition to the child, which reduces the group's usable seat count.
